Role Description (Primary functions & responsibilities):
Location: Mumbai
Position: Executive Assistant
Works with: Internal stakeholders across all functions including Finance, Danaher Business System, HR, Legal, M&A, etc. Internal stakeholders for this position will mirror the stakeholders of the reporting manager (Ex: APAC and HGM leaders)
Position Scope and responsibilities:
Operational :
Managing stakeholders’ Calendar and travel, setting up client meetings and meeting cadence as agreed with the stakeholder and senior leaders.
Expense report compilation, and follow through,
Organizing meetings that stakeholders may need to conduct time to time,
Organizing offsite meetings as required for the organization as assigned time to time.
Managing vendors across industry for ensuring smooth execution of events as required.
Operational scope includes managing CWT of relevant travel vendors for travel bookings, and other leaders when meetings and events are organized.
Strategic:
Undertake follow up with stakeholders for business delivery mirroring functional leader’s cadence for business reviews, DM/VM calls, follow through on having 1-0-1 meetings with employee groups as required by talent management deliverables of Functional Leaders.
Others included in scope:
Client engagement, Employee engagement actions including managing employee welfare actions such as assisting with supplies to employees during pandemic (Ex; Masks and PPE’s). Management of vendors and getting best efficiency in pricing for events, Employee welfare purchases, managing petticash, etc.
Person Scope:
This is an operational position with a good scope and exposure to strategic activities with line of sight that the functional leaders have on the overall India business.
Experience: at least 10+ years’ experience in similar roles having managed executive position
Essential to demonstrate experience in handling confidential data and compliance working along side senior leadership members.
Education: Any Graduate with relevant exposure to executive management at CXO level.
Travel: This position may not require extensive travel. However incumbent need to have flexibility to travel for purposes of organizing meetings, conferences and client programs as needed.
The incumbent needs to have the ability to convey, review and edit complex and confidential information clearly and effectively with all key stakeholders in general and with Functional Leader’s peer group and reports in particular.
Ability to understand functional leaders’ deliverables and ensure smooth assistance on planning and execution of day to day operational aspects and strategic deliverables.
Ability to effectively and seamlessly work in cross-functional teams and matrices.
A Strategic bent of mind with an ability to see around the corners.
A track record of having handled sensitive data and processes would be desirable.
Process focus and ability to analyze and develop new work processes to improve efficiency as per team/ client needs
Ability to delegate as well as take control depending on the on-ground situation
Strong communication skills and ability to converse with senior leaders is a must
Exposure to office tools like MS applications, Power BI, is essential. Being IT savvy is a definite plus.
