This is your chance to be part of a Global Distribution Team that is an important part of Hilton's Commercial Services organization around the world. As the Administrative Assistant for Partnership Development & Global Distribution, you will support the team responsible for the Global Distribution commercial and business strategy, channel management, operations, and services such as payment for the digital third-party channels that drive business for Hiltons’ 7,300+ hotels globally, and the Partnership Development and Experiences team that is driving the development of new and expanded enterprise partnerships.  The team also has responsibility for shaping Hilton’s Experiences business by curating a network of partners and service providers to provide our guests with services to complement their stays (i.e., local tours, dining experiences, and ground transfers. On the Partnership Development & Global Distribution team reporting to the Vice President, you will work on projects including providing general administrative support as it relates to maintaining calendars, coordinating meetings, travel itineraries, expense reports, processing invoices, and managing documents and presentation materials.  You will also organize outstanding and unforgettable events and meetings.

HOW YOU WILL MAKE AN IMPACT

Your role is important and below are some of the fundamental job duties that make your work unique.

What your day-to-day will be like:

  • Schedule and handle the leader's calendars, including booking travel itineraries. You will arrange and confirm reservation and meeting dates, locations, equipment, and catering. This includes keeping track of VISAS needed for travel, passport renewals, and similar tasks.
  • Complete and submit expense reports.
  • Draft and prepare documents, reports, correspondences, emails, and presentations and take meeting minutes.
  • Maintain contact lists, digital exchange forums, and relevant office equipment/supplies.
  • Track and maintain budgets and processing and tracking of invoices.
  • Maintain and input payroll functions.
  • Complete special projects as required.
  • Organize and implement select events and meetings.

How you will collaborate with others:

  • Coordinate with fellow Administrative Assistants to schedule meetings with senior executives and teams, obtain meeting rooms, and supplies, and organize catering. Coordinate large team meetings and external outings.
  • Liaise with vendors, exhibitors, and team members during the event planning process to ensure everything is in order.

WHY YOU'LL BE A GREAT FIT

You have these minimum qualifications:

  • Five (5) years of administrative experience
  • Experience handling more than one executive's calendar
  • Experience working with common productivity software suites (e.g. Microsoft, Adobe) and video conferencing tools
  • Experience interacting with Senior Leaders in a large corporate environment
  • Experience booking travel internationally
  • Role is in office five (5) days a week

It would be useful if you have:

  • Associate’s Degree
  • Seven (7) years of professional experience
  • Prior experience in the Travel or similar industry
