Cozen O’Connor has an excellent opportunity as a Legal Practice Assistant in Labor and Employment for our Philadelphia office. The ideal candidate is an enthusiastic self-starter, who is able to multi-task under strict time constraints with exceptional attention to detail, take initiative, think strategically and independently and interact with all levels of the firm. The position requires excellent communication, organizational and computer skills.

DUTIES AND RESPONSIBILITIES

  • Employment litigation, ECF filings (both federal and state)
  • National Labor Relations Board, PA Labor Board, EEOC, American Arbitration Association filings
  • Docketing court case deadlines into Corelate
  • Type, transcribe and revise all communications, legal documents, charts and tables.
  • Organize, create and update client binders; maintain electronic binders.
  • Organize, prepare and maintain client and office files both in electronic and paper filing systems.
  • Open and sort incoming communications via standard or electronic delivery and distribute appropriately.
  • Process attorney expense reports, check requests and travel arrangements which include transportation, automobile rentals, and hotel reservations.
  • Prepare and submit new client and/or new matter forms and sub-files.
  • Coordinate, schedule and docket/calendar meetings, conference calls and client tasks.
  • Proofread all work for both accurate content and context.
  • Assignments may change from time-to-time and flexibility is essential. Legal Practice Assistants are expected to extend support and service not only to primary attorneys, but to any attorney within the Department.

QUALIFICATIONS AND REQUIREMENTS

  • Must have at least 3 years legal experience. Preferred experience in Labor and Employment.
  • Must possess strong organizational and communication skills, both verbal and written.
  • Must be very detail-oriented and be able to multi-task.
  • Strong document processing and project management skills.
  • Must be able to think critically and proactively on projects and assist in making executive decisions in order to finalize tasks.
  • Proficient in advanced levels of Microsoft Office 365, Outlook, Excel, iManage Work and Word and the use and application of Styles, Redlining (CompareDocs), Adobe, Docusign and PDF Docs4.
  • Must be able to operate the Firm’s software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills.
  • Outstanding written and verbal communications and be able to professionally interact with clients, attorneys, and staff.
  • Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly.
  • Experience with document management program – iManage DeskSite preferred
  • Degree preferred but applicable work experience will be considered in lieu of a degree.
