Iconic 587-room Hilton Sydney is located steps from Town Hall station and the QVB Light Rail stop in the heart of Sydney’s CBD. Amongst our operations we are home to chefs hatted restaurant glass Brasserie, heritage listed Marble Bar and one of the largest Conferencing & Event spaces in Australia. 

As a senior leader in Hilton's flagship hotel, you will responsible for managing the Conferencing & Events Sales and Planning teams, ensuring revenue is maximized and events successful planned for execution and repeat business generation.

JOB PURPOSE STATEMENT

The role of Director of Groups, Meetings and Events takes responsibility for the leadership and commercial activities of the event sales and event planning teams. The role drives and supports achievement of all key targets and budgets, designing and implementing key strategies to drive group, event and related revenues. Your key responsibilities will include

Leadership

    • Lead the team in line with Hilton’s global Promise to our Team Members.

    • Communicate effectively within the commercial department as well as within hotel departments.

    • Recruit, hire and develop talent within the team and continue to grow the team’s overall competencies.

    • Address performance challenges in a supportive, timely and decisive manner.

    • Respond to and manage departmental change as required by the hotel, Hilton, government legislation or industry trends.

Hotel Strategy

    • Support in the design of the hotel business strategy.

    • Collaborate with and support commercial leadership team to achieve relevant key indicators, including but not limited to managing the hotel's continued profitability, ensuring the hotel's revenue and profit, and guest satisfaction to meet or exceed the standard requirements.

    • Actively participate in the key management issues of the property (e.g., planned refurbishment, training, customer service improvement campaigns).

    • Actively support the hotel by providing advice, support, and training in upselling and cross selling skills to Front Desk and F&B team members.

    • Actively promote the generation of rooms, event space and restaurant revenue.

    • Fully support, and take responsibility where applicable for, revenue driving initiatives in car park, laundry, telephone, in-room new/creative technology (movies, internet etc), business services.

Sales

    • Develop powerful personal relationships with key decision makers and influencers within top production or potential GME accounts. Ensure account plans are to support production goals.

    • Ensure attendance at all major travel shows/client engagement events as agreed.

    • Assist all commercials teams to develop the appropriate Account Plans with relevant input and support.

    • Develop and coordinate activity plans for relevant global sales offices in conjunction with the Director of Sales.

    • Ensure that measurement systems are in place to track the production of all targeted accounts.

    • On an annual basis identify the key retention and acquisition accounts for each sales person.

    • Develop and manage appropriate travel manager/booker programs.

    • Run effective weekly prospect, sales and planning meetings.

    • Ensure event team are align with Hilton brand standards in regards to enquiry management, conversion, product knowledge and enquiry cycle.

Revenue

    • Ensure alignment with event and group revenue management strategies, including stacking, best fit and effective space management.

    • Reviews the fair market share with major competitors on a weekly, monthly and YTD basis.

    • Analyse performance of existing customers.

    • Reviews Menu pricing in all of F&B.

    • Ensure maintenance of Systems & Procedures - Maximize the use of systems and maintain accuracy of all data input.

    • Ensure that all rates are loaded by accurate completion of the database.

Marketing

    • In conjunction with the marketing team establish hotel positioning documentation for the hotel that include:

    • In-depth SWOT Analysis.

    • Key Messages and Positioning Statement.

    • Establishment of Advertising and promotions action plan and budget.

    • Proposal and implementation of local and regional advertisement campaigns.

    • Attend major PR related functions within the hotel.

    • Manage, and review the effectiveness of all Room Sales and GM&E promotions.

    • Ensure that the hotel is well marketed on Internet and other distribution channels within agreed Hilton standards.

    • Support in implementing all agreed Worldwide, Area or country marketing promotions initiatives.

    • Ensure the Sales and GM&E (Sales & Planning) teams conform to Hilton brand standards and corporate identity.

    • Ensures the hotel is represented as an active member of the local community through association membership.

    • Ensure promotional marketing activities with Hilton Honors.

Commercial

    • Liaise with the event sales team and key account managers at point of initial negotiations to assist in securing the business.

    • Manage and co-ordinate all major events from signing of contract through to arrival at hotel and ultimately settlement of final account.

    • Ensure smooth transition of account files from Convention sales to Event team and keep the client informed accordingly.

    • Responsible for arranging pre-conference meetings with client and key team.

    • Manage and drive the In-House Sales team to achieve additional catering and banquet revenue from the client direct.

    • Promote and up sell the catering & accommodation facilities of the hotel to achieve revenue plan.

    • Assign contracted events to appropriate Key event managers.

    • Participate in the “Revenue Room” meetings.

    • Ensure Banquet Event Orders are accurate and distributed in a timely manner to all relevant personnel.

    • Responsible for providing direction, setting objectives, goals and standards for the department.

    • Develop a thorough knowledge of the business mix and future business.

    • Assist Sales with establishing call pattern with existing clients and develop new business contacts via the competition’s clients.

    • Conduct tours of inspection and entertain clients as required.

    • Lead the team to achieve the sales revenue target and maximise on function yields, ensure incentive programme consistently in place.

    • Establishing effective targets for individual banquet sales executives with regard to revenue and function profitability. Monitoring of individual performance in converting enquiries into confirmed business.

Budget and Fiscal

    • Complete annual Revenue Plan, S&M budgets and forecasts in conjunction with Hotel Team.

    • Monthly review of expenses and if needed, adjusted.

    • Effectively control team member levels, labour costs and all other expenses.

    • Review and approval of all expense accounts.

Leadership

    • Lead the team in line with Hilton’s global Promise to our Team Members.
