Knowledge and Skills

  • College degree in Accounting or Finance
  • Experience in QuickBooks or similar accounting programs
  • Minimum of 3 years of relevant experience

Responsibilities

  1. Association Bookkeeping – Responsible for documenting ongoing financial data according to the annual plan for assigned association clients to ensure the budget and monthly reports match the yearly plan. Manage association finances as per the policy and procedures defined. Provide quality presentations and reporting to each association’s Treasurer or Board of Directors monthly.
  • Manage accounts receivable including invoicing, event registration, sponsors and other income sources
  • Manage accounts payable obtaining approval for monthly invoices and signature to pay vendors in a timely fashion
  • Document ongoing finances with accuracy
  • File the annual corporate filings and manage director/officer insurance. Accurate and timely development of annual association budgets
  • Timely renewals and ongoing review of insurance policies
  • Accurate and timely information for tax return preparation by outside accounting firms
  1. Financial reporting (Associations) - Prepare monthly financial reports for each association and present YTD budget updates to ensure the associations are meeting their annual plans and remain viable and solvent.
  • Manage budgets for each association to ensure financial health
  • Create and manage meeting/event budgets
  • Coordinate cash flow with the board and bank
  • Accurately review bank recs for each association’s account
  1. Event Registration – Manage the online registration for association meetings and membership to provide a seamless and timely registration for membership.
  • Timely online event registration set-up
  • Supervise testing and update registration process as needed
  • Communication of go-live announcement to members on deadline
  1. Associations Division – Contribute to the overall success of the Associations Management division by supporting other team members in procedure programs and during events.
  • Manage document retention policies
  • Assist in meeting preparation as needed
  • Communicate with the affiliated banking institutions for renewals, questions or documentation requirements
  • Coordinate finance activities with the Executive Director on an as-needed basis regarding the overall financial health of the association

  • Represents the agency in a positive, professional manner during client interaction

  • Ability to travel for meetings as necessary
