- Report to project (“show”) Producer and PM, while working with other coordinators on the project to keep the show operating in an organized and efficient manner
- Work with Producer, Leads and Supervisors to proactively track and manage the workflow through the departments meeting internal and external deadlines
- Together with the Producer and PM, build a daily dept schedule and set up Artist pages with current and upcoming assignments that hits the targets and quotas set by the Producer
- Keep communication flowing from Supervisor to Leads and Crew as well as upstream and downstream departments to ensure that dependencies are on track
- Anticipate and communicate issues to the Producer and Supervisor to resolve problems quickly
- Organize dailies, rounds and meetings, take notes and follow up on information for Artists and Leads as necessary
- Prepare meeting rooms for client calls
- Take detailed, comprehensive notes and review them after dailies/notes
- Constantly check in with Artists to ensure task delivery dates and milestones are met, while keeping overtime to a minimum. Flag any issues or concerns which have schedule implications to Producer & PM
- Ensure RISE Base task assignments and statuses are kept up to date across shots, tasks and versions
- Manage client deliveries on rotation with the other coordinators
- Ingest client feedback
- Organize client reference material and keep on top of client requests ensuring they are answered in a timely manner
- Keep on top of all client requests
- Manage resources and communicate coherently with other support departments (e.g., Pipeline, Editorial, HR)
- Liaise with Editorial Department to ensure they have up-to-date line up data and sequence cuts
- May be required to supervise, delegate work to and train Production Assistants
- Run reviews with crew (dailies), clients, external vendors, and various meetings while ensuring technical functionality beforehand
- Work close with IT and Pipeline Departments using ticket system
- Ability to learn basic commands required to assist artists in file organization, submitting shots and QC-ing movies
- Other ad hoc duties as may reasonably be expected
