The Role
Tesla’s Powertrain team is at the forefront of cutting edge manufacturing technologies for batteries, Drive Units and Cells. Thisteam is operating the next generation assembly lines which allows us produce amazing vehicles at best in class quality and rate; in a safe and ergonomic environment.
The Project Coordinator will report to the Powertrain Manufacturing Lead at the Berlin Facility. The Project Coordinator will be tasked with various duties including but not limited to: writing purchase orders, negotiating with suppliers, administrative duties, generating monthly reports, scheduling projects and tracking tasks.
- Prepare, support and assist the Powertrain Manufacturing Lead in various types of tasks and projects. In particular:
- Set up meeting coordination and conference room reservations via teams.
- Preparation of meeting agendas and meeting notes
- Attend meetings and compile meeting minutes and documenting other information.
- Programming data worksheets.
- Accurate project files documentation (hard copy and electronic).
- Creation/maintenance of various spreadsheets and correspondence.
- Organize events and maintain file structure and cloud-based file sharing sites.
- Administrate the email distribution lists and file sharing.
- Update org charts and create purchase orders.
- Organize, maintain and train JIRA projects.
- Set up and run smaller cross-functional projects.
- Also, support, prepare, take care of team related actions like huddles, new hire welcoming, students, apprentices.
- Organize, document and optimize punch list tracking.
- Special duties and projects, as assigned or necessary including coverage of other coordinators.
- 1-2 years of experience in an administrative capacity preferably in a high-volume manufacturing environment.
- Bachelor's Degree (Engineering degree preferred, but not required), or equivalent in experience.
- Superior verbal and written communication skills in the English and German language.
- Ability to effectively prioritize with strong time management skills in a fast-paced environment.
- Experience initiating and coordinating projects and liaising with multiple stakeholders at the same time.
- Experience supporting executives and coordination of media, meetings, attendees etc.
- A customer-centric attitude and enthusiasm for supporting internal teams.
- Experience preparing presentations for Executive/ Senior Management.
- Highly organized with a strong attention to detail.
- High level of professionalism and strong sense of urgency.
- Intermediate to advanced skills in MS Office Suite (Outlook, Excel, Word, PowerPoint).
- Ability to work with minimal guidance; Proactive, motivated self-starter.
- Proficiency with conferencing systems (Tesla is Microsoft Teams based).
- Flexibility and ability to handle and manage change effectively and efficiently.
